Can I ask admin to call a client to reschedule their appointment?
Yes, The Admin Team can call to reschedule.
Can admin email a client for me?
- The Admin Team can only email a client if it has been okayed by their supervisor/manager
- For admin to email on your behalf, we ask that you type out exactly what should be sent along with the subject line. We can then determine next steps.
How can I send snail mail?
- In the office you can prep the mail and place it in the “outgoing mail” folder.Someone on the admin team will then add postage and place it in the outgoing mailbox.
- You can also email snailmail@care-clinics.com a detailed request of what needs to be sent and the admin team will prep and send it for you.
- You can also mail it yourself. Ask someone on the admin team for a stamp!
I’m running behind for an appointment, can I ask admin to call my client to let them know I’ll be a little late?
- Yes.
- If you are running late to your 7am or 8am appointment you will need to let the client know.
BILLING
What‘s Thera-PAY’s billing process for outstanding balances?
- Clients with a credit card on file are charged their client responsibility the day after the session.
- If the credit card is not active, a call is made to the client.
- Clients with no credit card on file will receive a monthly statement.
- If the client goes 3-4 statement cycles without making a payment, a call is made.
What methods of payments can clients use?
- Credit card
- Debit card
- HSA and FSA cards
- Check
Are payments automatic, or do clients have to authorize payments?
When the clients sign their intake paperwork, there is a form which provides us with the client’s credit card number and authorizes us to make payments for the client’s sessions.
How frequently are statements sent out and how are they sent out?
- Statements are sent once per month, through USPS.
- Statements can be uploaded to the clients TherapyNotes Portal.
Do statements have enough info to be used as receipts for HSA’s?
- In a majority of cases yes.
- If more info is required, we can send a more detailed Excel spreadsheet
What payment plans can we set up?
This depends on the client’s situation. Thera-PAY will work with the client to set up a plan that works for both the client and for CARE Counseling
Can we accept HSA’s or FSA’s?
